How to automate lead follow-up for a cleaning business

The first minute: acknowledge automatically
Most people who ask a cleaning company for a price also ask others. The first reply tends to set the tone, so send one automatically: thank them, say what happens next and when, and ask the one question you need most, such as the number of bedrooms. It does not need to be clever. It needs to arrive.
The first hour: a human touch
The automatic reply buys time; a person or a well-bounded assistant closes. Aim for a real response, ideally a call or a personal text with a price range, within the working hour. Measure the time from enquiry to first human reply and look at the slowest tenth, not the average.

The stop rules matter more than the messages. A sequence that keeps going after a lead has booked, or after they said no, damages the brand it was meant to build.
Consent and channels
Text messages are effective for quick questions, and rules about marketing texts differ by country and region. In the United States, for example, you generally need consent before sending automated marketing texts, and every message needs a working way to opt out. Keep a record of opt-outs and honor them everywhere. Check the rules that apply to you.
Measure what happens

- Share of quotes that become bookings, by lead source.
- Leads closed with no reply, so you can test a different message.
Common mistakes
- Sending a long message first. Short wins.
- No owner. Someone must be responsible for the hour after the enquiry.
- Treating a booked client as a lead and continuing to message them.
